What a receipt needs to contain
- Business name — The seller — your name or registered company name
- Tax / VAT / ABN / GST number — Required in the UK (VAT number if registered), Australia (ABN) and Canada (GST/HST number) when you charge tax
- Receipt number — Sequential and unique — this is your audit trail
- Date paid —
- Received from (customer) —
- Tax / VAT rate (%) — Leave 0 if not applicable
Most disputes about money are really disputes about evidence. A dated receipt with an itemised total, a payment method and both parties' names settles the question immediately — and in several countries a receipt is a legal requirement once a customer asks for one.
Required details by country
| United Kingdom | If you are VAT-registered you must show your VAT number and, for VAT receipts, the rate and amount of VAT. Keep copies for 6 years. |
|---|---|
| United States | Federal law does not require a consumer receipt, but sales tax must be shown separately where it applies, and records must support your tax return. |
| Canada | GST/HST registrants must show the GST/HST number and the amount of tax once the total reaches the small-supplier receipt threshold. |
| Australia | Tax invoices for sales of $82.50 or more (including GST) need the words 'Tax invoice', your ABN, the buyer's identity, and the GST amount. |
How to fill it in
- Fill in your business details — Name, address and tax number. Save them once — the generator remembers them in your browser so the next receipt takes 10 seconds.
- Add the payment details — Receipt number, date paid, who paid you, and the payment method. A sequential receipt number is what makes the document an audit trail.
- List the items — Description, quantity and unit price. The generator calculates the subtotal, tax and total for you.
- Download the PDF — Print it, email it, or attach it to your accounting records. The free version carries a small Kitzone footer.
Questions people ask
Is a receipt the same as an invoice?
No. An invoice is a request for payment sent before money changes hands; a receipt confirms that payment already happened. Many small businesses send both — invoice first, receipt after payment clears.
Do I legally have to give a receipt?
It depends on the country. In the UK there is no general duty to issue a receipt for consumer sales, but VAT-registered businesses must document VAT properly. In Australia a compliant 'tax invoice' is required for sales of $82.50 or more including GST. In Canada, GST/HST registrants must provide specified information on receipts above set thresholds.
What must a receipt contain to be valid?
At minimum: seller identity, buyer identity, date, amount paid, and what was paid for. If tax applies, add the tax number and the tax line. Add a receipt number if you want the receipt to work as a bookkeeping record.
Can I edit the receipt after sending it?
You should never silently edit an issued receipt. Instead issue a corrected receipt with the same number plus a note, or a credit note. That protects you if the records are ever checked.
Is the free version really free?
Yes. The generator, the template downloads and the PDF export are free. A paid option removes the small Kitzone footer and unlocks batch export — it does not change the receipt's legal content.
