Required details by country
| United Kingdom | If you are VAT-registered, a full VAT invoice must show a sequential number, the date, your name, address and VAT number, the customer's name and address, a description, quantity, rate, VAT rate and VAT amount. It should be issued within 30 days of the supply. Official source: GOV.UK: VAT Notice 700, section 16 (invoices) |

| United States | There is no federal invoice format. Your records must support the income and expenses on your tax return. Sales tax rules are set by each state and may require the tax to be shown separately. Official source: IRS: Recordkeeping |
| Canada | If you are GST/HST-registered and a business customer wants to claim input tax credits, the invoice must show details that depend on the amount, including your GST/HST number. Above $100 the GST/HST amount is needed, and above $500 the buyer's name and payment terms. Official source: CRA: RC4022 General Information for GST/HST registrants |

How to fill it in
- Enter your details and the customer — Your business name, address and tax number, then who the invoice is for. Your details are remembered in your browser for next time.
- Number it and set the dates — Use a sequential invoice number that never repeats. The issue date defaults to today; set a due date so the customer knows when to pay.
- List the items — Description, quantity and unit price. Subtotal, tax and total due are calculated for you.
- Download and send — Print the PDF, or email it. Add your bank details in the notes so payment is easy.
Questions people ask
What is the difference between an invoice and a receipt?
An invoice asks for payment and is usually sent before money changes hands. A receipt confirms that payment has been made. Many businesses send an invoice first and a receipt once it is paid.
Do I need an invoice number?
Use one. A sequential, unique number makes it easy to track what has been issued and paid, and most tax rules expect invoices to be numbered.
What happens if I make a mistake on an invoice?
Do not silently edit an issued invoice. Issue a corrected invoice or a credit note that references the original number, so your records stay complete.
Is the invoice generator free?
Yes. The generator and PDF export are free, with no signup. The PDF carries a small Kitzone footer.
