Free Quotation Template (printable PDF)
A simple quotation layout: who it is for, how long it is valid, what is included, the estimated total and a line for the customer to accept. Print it blank, or fill the generator in for each new job.
What is on the template
- Seller block: business name, address, tax number
- Document block: quote number, quote date, valid until
- Customer block: prepared for, address, reference
- Item table: description, quantity, unit price, line total
- Totals: subtotal, tax, estimated total
- Scope and terms, plus an 'accepted by' signature line
Template or generator?
Use the template when you are working on paper, in the field, or you want to write details by hand and sign in person. Use the generator when you want the totals calculated for you, numbering kept in sequence, and a PDF you can email in the same minute. Both are free.
Country notes
| United Kingdom | There is no fixed legal format for a quotation. A quote is not a VAT invoice; the VAT rules apply to the invoice you issue when the work or goods are supplied. State clearly what is included and how long the price holds. If you are VAT-registered, show VAT on the eventual invoice, not as a binding part of the quote. | United States | No federal rule sets a quote format. Quotes that become contracts are governed by contract law, and state rules may apply to certain consumer or home-improvement work. Keep a copy of every quote you send and any signed acceptance. Check your state's rules for specific trades. Official source: IRS: Recordkeeping |
| Canada | No federal format applies to a quotation. Provincial consumer protection rules may apply to some services. GST/HST rules apply to the invoice when it is issued. Check your province's rules for consumer contracts before quoting fixed prices for services. Official source: CRA: RC4022 General Information for GST/HST registrants |
| Australia | No fixed format applies to a quote. A quote is not a tax invoice. If a quote is accepted and a taxable sale follows, the tax invoice rules apply when you invoice. Australian Consumer Law applies to consumer services, and its consumer guarantees cannot be excluded by the terms of a quote.
